In line with RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995), ill or injured pupils who leave school during school hours should be automatically issued with an authorisation pass. This enables the school to see at a glance who has left the building and when they are expected to return.
SSP’s Accident, Incident and Illness Register refills allows the school to do just this. The tear-out confirmation slip of paper is created for the pupil as proof that they have been authorised to leave your school. Complying with the Data Protection Act 1998, a darkened sheet then conceals the school’s copy of the register of all of those that have previously been sent home.
This system not only helps you meet your school’s legal obligations, it will also help you reduce truancy levels. By tracking a pupil’s attendance in this way it immediately identifies whether or not a pupil is authorised to be absent.

As you can see in the attached Accident, Incident and Illness register PDF and the images right, each tear-out slip allow to record the following:

It then goes on to record: Parent Contacted / Unable to contact parent
The slip also has a categories for the following, should you require: The child was well enough following First Aid to remain in school The child was collected from school The school is of the opinion that your child should consult a doctor
Finally, the slip states it for the attention of the Parent/Carer and gives the standard advice that ‘Should your child suffer any drowsiness, vomiting, impaired vision or excessive paint after returning home please consult your doctor or local hospital’.

Is this system compliant with the GDPR? As it has a discreet sheet to conceal details of individuals reporting any accident, illness or incident, then yes it absolutely does comply with the GDPR (General Data Protection Regulations). The only thing we should stress though - to ensure compliance when not in use - you must ensure it is stored away securely. Under no circumstances should this system be left unattended. It would not comply if it was left out in an unmanned area for any length of time.
